TERMS OF SERVICE

These Terms of Service (“Terms”) govern your use of the CardFest Expo website at cardfestexpo.com, ticket and product purchases, vendor table reservations, and attendance at CardFest Expo events (collectively, the “Services”). By using the site, completing checkout, or attending an event, you agree to these Terms. If you do not agree, do not use the Services or submit payment.
Subject to change. Event dates, venues, schedules, pricing, policies, and these Terms may be updated at any time. Material changes will be posted on this page when practicable. The “Last updated” date above reflects the most recent revision. Continued use of the Services or attendance after changes constitutes acceptance of the updated Terms.
1. Who we are
CardFest Expo produces traveling card and collectibles shows. Contact: info@cardfestexpo.com or (215) 354-1060.
2. Event information
Dates, venues, schedules, featured guests, inventory, pricing, and perks shown on the site are subject to change. We may update event details, capacity, or offerings before or during a show. Material changes will be posted on the site when practicable.
3. Ticket and product purchases
When you purchase tickets, add-ons, vendor tables, or other items through our checkout:
- You must be at least 18 years old (or the age of majority where you live), or purchase with a parent or guardian’s authorization.
- You must provide accurate contact information so tickets and confirmations can be delivered.
- You authorize charges for the amounts shown at checkout, including applicable taxes and fees.
- Payments are processed by Stripe. CardFest Expo does not store full card numbers on its servers.
- Each ticket or QR code is valid for one admission or use unless otherwise stated. Tickets are non-transferable, may not be resold, and may not be duplicated or used after redemption except where we expressly allow re-entry.
4. Ticket terms & conditions
The following terms apply to all ticket holders and attendees. By purchasing a ticket or entering the event, you agree to each item below in addition to the rest of these Terms.
4.1 Revocable license
Each ticket is a revocable license for admission only. Management reserves the right, without refund, to refuse admission or eject any person whose conduct is deemed disorderly, unsafe, or non-compliant with event rules.
4.2 All sales final
All ticket sales are final. No refunds, exchanges, or credits will be issued for any reason, including but not limited to weather, vendor or guest cancellations, or personal circumstances. Initiating unauthorized credit card chargebacks is strictly prohibited and may result in a permanent ban from future events. Contact info@cardfestexpo.com with order details before disputing a charge with your bank.
If an event is canceled by CardFest Expo, we will post instructions for refunds or credits on the site and/or contact purchasers at the email used at checkout. If an event is postponed, tickets generally remain valid for the rescheduled date unless we notify you otherwise.
VIP All-Access tickets include bundled perks, amenities, hospitality features, and promotional items that may change, be substituted, or be canceled without notice due to venue requirements, operational needs, or circumstances beyond our control. Featured celebrity guests, talent, autographs, meet-and-greets, photo opportunities, and stage appearances are included amenities only and are not the sole basis of the ticket price; guest lineups and schedules may change or cancel without notice. No partial refunds or exchanges are offered for modified VIP amenities or guest cancellations.
4.3 Assumption of risk & liability
Ticket holders voluntarily assume all risks and dangers incidental to the event, whether occurring prior to, during, or after. Event organizers, sponsors, venue owners, and staff are not liable for personal injury, illness, or property damage to the fullest extent permitted by law.
4.4 Lost, stolen, or counterfeit items
Event management is not responsible for lost, stolen, or damaged personal property, trading cards, or cash. All transactions between attendees, vendors, and third parties are strictly at the participants’ own risk. Event organizers do not authenticate cards or guarantee vendor inventory.
4.5 Media release
Attendance constitutes consent for CardFest Expo to capture and use your image, voice, and likeness in photography, video, or promotional media without compensation, except as described below.
Opt-out: If you do not wish to appear in promotional media, you may opt out by emailing info@cardfestexpo.com at least 48 hours before the event with your name and order email, or by visiting the information desk on event day before entering main photo areas. Opt-out requests apply to future promotional use where reasonably practicable; incidental background appearance in crowd shots may still occur.
4.6 Security inspection
Ticket holders consent to reasonable bag and container searches upon entry and exit to ensure facility security and theft prevention.
4.7 Minors, families, and Kids Vault
4.7.1 Complimentary admission — children under five
CardFest Expo welcomes families. Children who are under five (5) years of age on the date of the event may enter the show without purchasing a separate General Admission ticket when the requirements below are met. This policy applies to show-floor access only and does not replace the supervision rules in Section 4.7.2.
- Accompanying adult required. Each child under five must be accompanied at all times by a parent, legal guardian, or other responsible adult (18+) authorized by the parent or guardian (“Accompanying Adult”). The Accompanying Adult must remain on site, keep the child within sight and control, and assume full responsibility for the child’s conduct and safety.
- Valid paid admission for the adult. The Accompanying Adult must hold a valid, unscanned admission credential (for example, a General Admission, VIP, or other ticket type that grants floor access) for the same event day. Complimentary child admission cannot be used as a substitute for an adult ticket.
- No separate child ticket or QR code. Unless staff instruct otherwise for operational or safety reasons, children under five do not receive a separate ticket, QR code, or wristband for complimentary entry. Entry is granted at the door with the Accompanying Adult’s credential.
- Age verification. Staff may request reasonable proof of age (for example, a birth certificate, passport, or other government-issued document) at entry. If age cannot be verified as under five, a standard admission ticket may be required before entry is allowed.
- Not included in complimentary entry. Complimentary under-five admission does not include VIP lounge access, early entry, meet-and-greets, autograph or photo add-ons, Main Stage pack breaks, raffle entries, giveaways, or other paid or limited-capacity experiences unless those items are separately purchased for the child or expressly included in a ticket type that states child inclusion. Children five and older require their own paid admission unless a future promotion states otherwise on the site.
- Capacity and program rules. Complimentary admission is subject to venue capacity, fire-code limits, and on-site safety directives. Access to the Kids Vault™, trading areas, and other youth programs remains subject to posted program rules, staff direction, and capacity limits even when a child enters without a separate ticket.
- Changes. CardFest Expo may modify or suspend this policy for a specific event date if required by venue policy, local law, or safety concerns. Any change will be posted on the site when practicable before the event.
4.7.2 Supervision, minors, and Kids Vault programs
General admission tickets do not have a minimum age, but children under 18 must be accompanied and supervised at all times by a parent, legal guardian, or responsible adult (18+) who remains on site and assumes responsibility for the minor’s conduct and safety (including children under five entering under Section 4.7.1).
The Kids Vault™ and related youth programs (including the Kids Trading Center, Give A Card / Take A Card, Gem Mint Rewards Hub, and Hobby Academy activities) are designed for children and families. Participation in Kids Vault activities is subject to on-site staff direction, capacity limits, and program rules posted at the event. CardFest Expo may restrict or end participation for safety, capacity, or conduct reasons.
Adults may not use Kids Vault trading areas or youth-only programs except when accompanying a minor or when expressly permitted by staff (for example, approved vendor volunteer sessions). Parents and guardians are responsible for monitoring their children’s trades, prizes, and personal belongings in all Kids Vault areas.
4.8 Prohibited items
For the safety of attendees, vendors, and staff, the following are prohibited unless expressly authorized by CardFest Expo or venue security:
- Weapons of any kind, including firearms, knives, tasers, pepper spray, and improvised weapons (concealed-carry permit holders must comply with venue policy and applicable law)
- Illegal drugs, drug paraphernalia, and unauthorized controlled substances
- Outside alcohol not sold or served by authorized venue or event concessions
- Fireworks, explosives, flammable materials, and hazardous chemicals
- Drones, skateboards, scooters, and other devices that create safety hazards in crowded aisles
- Noisemakers, laser pointers, or items that disrupt vendors, breaks, or stage programming
- Professional photo, video, or broadcast equipment used for commercial purposes without prior written approval
Outside food and beverages: Outside food and drink may be restricted by venue policy. Small snacks and beverages for personal or medical needs are generally permitted; large coolers, catering trays, and alcohol brought from outside are not. Staff may refuse or require disposal of prohibited items at entry without refund.
Changes and discretion. The prohibited-items list, screening procedures, and related entry security rules may be changed at any time without prior notice when CardFest Expo or the venue reasonably determines an update is necessary for safety, legal compliance, crowd management, or operations. What counts as a prohibited item, whether an item may be checked, stored, returned, or disposed of, and whether a person is admitted or turned away are determined in CardFest Expo’s sole discretion, subject to applicable law. Updated rules may be posted on this site, announced at the venue, or communicated by staff on event day; continued entry or attendance after a change constitutes acceptance of the updated rules.
4.9 Accessibility
CardFest Expo is committed to reasonable accessibility for attendees with disabilities. If you need accommodation (for example, wheelchair access routing, seating assistance, or other support), contact us at info@cardfestexpo.com at least seven (7) days before the event when possible so we can work with the venue to assist you. On-site requests may be directed to the information desk or any staff member wearing official CardFest Expo credentials.
Accessibility features vary by venue. While we strive to provide accessible paths and seating where available, we cannot guarantee every area or activity will be accessible at every location without advance notice.
4.10 No resale or unauthorized transfer
Tickets are issued to the original purchaser and are non-transferable and non-resellable unless CardFest Expo approves a transfer in writing. Tickets may not be sold, brokered, bartered, or offered for any consideration through any third party, including online resale platforms, social media marketplaces, scalpers, or bulk resale operations.
Each ticket or QR code is valid only for the purchaser’s own admission. Sharing, forwarding, screenshotting, or duplicating tickets for use by another person is prohibited. CardFest Expo may cancel tickets involved in resale, unauthorized transfer, fraud, or policy violations without refund and may refuse entry to anyone presenting a ticket obtained in violation of these Terms.
5. Admission and conduct
At any CardFest Expo event, you agree to:
- Follow venue rules, staff directions, and applicable laws
- Present valid tickets or credentials for scanning at entry
- Behave respectfully toward attendees, vendors, staff, and participants
- Not engage in harassment, theft, fraud, unsafe conduct, or disruption
We may refuse entry, remove attendees, or void tickets without refund for violation of these Terms, venue policies, or behavior we reasonably consider harmful to the event or others.
6. Vendors, sponsorships, and third parties
Vendor table reservations are governed by the Vendor/Dealer Space Agreement in Section 19 below. Sponsorship packages are governed by Section 7 below and any written sponsorship agreement or proposal accepted by CardFest Expo. Purchases made directly from independent vendors at the show are between you and that vendor unless CardFest Expo is explicitly identified as the seller.
7. Sponsorship terms
Sponsorship inquiries, proposals, invoices, and payments for CardFest Expo sponsorship packages are subject to these Terms and any written agreement, proposal, or order form accepted by CardFest Expo (collectively, the “Sponsorship Agreement”).
7.1 Packages and deliverables
Sponsorship benefits (such as naming rights, signage, stage mentions, booth placement, digital promotion, or Kids Vault activations) are described in the applicable package or custom proposal. Deliverables are subject to event schedule, venue constraints, and production availability. CardFest Expo may substitute reasonably comparable benefits if a listed perk cannot be delivered as described, with notice to the sponsor when practicable.
7.2 Payment, approval, and cancellation
Sponsorship fees are due as stated on the invoice or agreement. Placement, creative assets, and on-site activations are not guaranteed until payment clears and required brand materials are approved. Unless stated otherwise in writing, sponsorship fees are non-refundable. If CardFest Expo cancels an event, sponsor fees may be applied as credit toward a rescheduled date or future event in CardFest Expo’s discretion.
7.3 Brand standards and conduct
Sponsors must provide accurate company information and approved logos, copy, and creative assets. CardFest Expo may reject or remove sponsor materials that are misleading, offensive, unlawful, or inconsistent with event standards. Sponsors must conduct on-site activations professionally and comply with venue rules, staff direction, and applicable law.
7.4 No endorsement; third-party claims
Unless expressly stated in writing, sponsorship does not constitute an endorsement of a sponsor’s products or services by CardFest Expo, its guests, or partners. Sponsors are responsible for their own advertising claims, giveaways, and compliance obligations.
8. Live breaks, drawings, giveaways, and promotions
CardFest Expo may offer live breaks, raffles, instant-win promotions, VIP giveaways, Kids Vault prizes, and other promotional activities during an event or through the website. Participation is voluntary and subject to these Terms, on-site rules, and any additional official rules posted for a specific promotion.
8.1 Eligibility
Unless a specific promotion states otherwise:
- Participants must be present at the event (or otherwise qualified as stated) to claim most prizes
- Employees of CardFest Expo, immediate family members, and individuals involved in administering a promotion may be ineligible where required
- Minors may participate only with parent or guardian consent and supervision where required by law or posted rules
- Valid admission or applicable VIP/add-on credentials may be required for entry into certain breaks or drawings
8.2 Official rules and odds
Each material promotion will have official rules available at the event information desk, on signage near the activity, and/or on the site when practicable. Rules will describe entry methods, prize descriptions, approximate retail values, winner selection procedures, and claim deadlines where applicable.
For chance-based drawings, odds depend on the number of eligible entries received. For live breaks, outcomes depend on the sealed product opened during the break and posted break format. CardFest Expo does not guarantee specific cards, players, teams, grades, or values in any break or giveaway.
8.3 Pennsylvania and general compliance
Promotions are void where prohibited by law. CardFest Expo will comply with applicable Pennsylvania contest, sweepstakes, and gaming-related requirements, including registration or bonding where required for covered promotions. If a promotion requires a free alternate method of entry, details will be included in the official rules for that promotion.
8.4 Prizes, taxes, and forfeiture
Prizes are non-transferable unless expressly allowed. Winners may be required to sign a release, provide identification, and complete tax documentation for prizes above thresholds required by law. Unclaimed prizes may be forfeited after the deadline stated in the promotion rules. CardFest Expo may substitute a prize of equal or greater approximate value if a listed prize becomes unavailable.
19. Vendor / dealer space agreement

Organizer: CardFest Expo LLC (“Organizer”)
This Vendor/Dealer Space Agreement (the “Agreement”) is entered into between Organizer and the undersigned Vendor (“Vendor”). By signing the vendor sign-up form, completing digital payment for vendor space, or checking out online, Vendor agrees to all terms herein and on www.cardfestexpo.com. 19.1 Vendor package selection
Vendor space is sold in the following packages (pricing and availability as shown at checkout):
- Standard Floor Table: One 8ft table
- Premium Placement: Two 8ft tables
- VIP Endcap Suite: Four 8ft tables (high traffic)
- Main Stage Heavyweight Mega-Package: Limited availability (max 2 per show)
19.2 Space, load-in & operations
Usage & subletting: Displays must stay within assigned footprints and clear of aisles and exits. Subletting, sharing, or transferring space is strictly prohibited without prior written consent from the Organizer.
Hours & load-in: Setup is strictly 7:00 a.m. – 8:45 a.m. on show day. Late arrivals risk space forfeiture without refund. Tables must remain fully staffed during show hours; early teardown is prohibited.
19.3 Payment, refunds & cancellations
Non-refundable: All payments are 100% final and non-refundable. Table assignments are guaranteed only upon cleared payment.
Cancellation or postponement: If the event is canceled or postponed due to circumstances beyond the Organizer’s reasonable control (including acts of God, weather, or emergency), fees apply as credit toward a future show. No cash refunds.
19.4 Security, property & loss waiver
100% vendor risk: Vendor retains sole responsibility for all inventory, gear, and cash. Organizer and venue assume no liability for lost, stolen, or damaged items before, during, or after show hours.
19.5 Insurance & uninsured waiver
Coverage & COI: Vendors are strongly encouraged to maintain commercial liability insurance. If insured, submit a certificate of insurance (COI) naming CardFest Expo LLC (43 Steamwhistle Dr, Ivyland, PA 18974) as Additional Insured.
Uninsured risk assumption: Uninsured Vendors operate at their own sole risk, assume 100% financial liability for injuries, loss, or theft, and waive all rights of recovery or insurance subrogation against Organizer and venue.
19.6 Merchandise compliance & authenticity
Zero counterfeits: Pirated items, resealed or fake packs, or fake slabs are strictly forbidden. Fraudulent sales result in immediate ejection without refund and referral to law enforcement.
Taxes: Vendor is solely responsible for collecting and remitting all state and local sales taxes.
19.7 Liability & indemnification
Vendor agrees to defend, indemnify, and hold harmless CardFest Expo LLC, the venue, and their agents from any claims, losses, thefts, damages, or legal fees arising from Vendor’s booth operations, products, or presence at the event.
19.8 Acknowledgment & acceptance
By using this website or submitting payment for table space, Vendor acknowledges that they have read, understood, and agreed to all terms listed in this Agreement.
9. Website use
You agree not to:
- Use the site for unlawful, abusive, or fraudulent purposes
- Attempt to disrupt, probe, or compromise the site or related systems
- Scrape, copy, or reuse site content for commercial purposes without our written consent
- Misrepresent your identity or affiliation when contacting us or purchasing tickets
10. Intellectual property
CardFest Expo names, logos, site content, and event materials are owned by CardFest Expo or its licensors and protected by applicable intellectual property laws. You may not use our branding without prior written permission except as allowed by law.
11. Third-party services
The site may reference or link to third-party services such as Stripe or social platforms. We are not responsible for their content, policies, or practices. Ticketing infrastructure may be powered by Ownstage.
12. Disclaimers
THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We do not guarantee uninterrupted access to the site, error-free checkout, or that every product, guest, or activity advertised will be available at every event.
13. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, CARDFEST EXPO AND ITS ORGANIZERS, PARTNERS, AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF THE SERVICES OR ATTENDANCE AT AN EVENT. OUR TOTAL LIABILITY FOR CLAIMS ARISING OUT OF THE SERVICES WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO CARDFEST EXPO FOR THE ORDER GIVING RISE TO THE CLAIM OR (B) ONE HUNDRED U.S. DOLLARS (US $100).
Some jurisdictions do not allow certain limitations; in those places, our liability is limited to the fullest extent allowed by law.
14. Indemnity
You agree to indemnify and hold harmless CardFest Expo and its organizers from claims, damages, and expenses (including reasonable attorneys’ fees) arising from your misuse of the Services, violation of these Terms, or conduct at an event.
15. Privacy
Our collection and use of personal information is described in our Privacy Policy.
16. Governing law
These Terms are governed by the laws of the Commonwealth of Pennsylvania and applicable United States federal law, without regard to conflict-of-law rules, unless a different governing law is required by mandatory local law where you reside.
17. Changes
We may update these Terms, event policies, and related agreements from time to time without prior notice except as posted on this page. The “Last updated” date at the top will change when we do. Continued use of the Services after changes means you accept the updated Terms.
